For the Volunteer Bureau of Montreal, the protection of your privacy and personal information is of the utmost importance. For this reason, we have put in place safeguards and practices to ensure that your personal information is well managed.
This Privacy Policy describes our practices with respect to the collection, use, processing, disclosure and retention of our members' and users' personal information.
Please note that by using our website (www.cabm.net) or becoming a member of our organization, you agree that we may collect, use, process, disclose and retain your personal information in accordance with the terms described in this policy. By doing so, if you do not agree to abide by and be bound by this policy, you will not be allowed to become a member of the Volunteer Bureau of Montreal or to use the services offered on our website.

Third-party organization or individuals employed by the Organization to facilitate the Services, provide the Services on behalf of the Organization, perform services related to the Services, or assist the Organization in analyzing the use of the Services.

This may include, for example, medical, biometric, genetic or financial information, or information about sex life or sexual orientation, religious or philosophical beliefs, trade union membership or ethnic origin.

“Privacy Officer” means the person who is responsible for the application of this Policy and whose contact informationis identified in section 1.2 of this Policy.

“Services” refers to the Website and all related services offered by the Organization, which includes professional services and, where applicable, associated media, printed materials, and “online” or electronic documentation.

3.1 Collection of Personal Information

For the Volunteer Bureau of Montreal, respect for your privacy and confidentiality of your data is paramount. In this section of the Privacy Policy, you will find what personal information we collect, how we process it, and when we need to share it with our partners.
With your consent, you authorize the Volunteer Bureau of Montreal to collect and process your personal information that is necessaryto provide you with our services. Via our website:

  • Information such as your first and last name, your email address, your city and borough of residence, as well as your telephone number is required in order to create a volunteer and organization member account and/or to receive our newsletters and other targeted communications;
  • Information such as your age range and employment status is required in order to create a volunteer membership account and to better target our recruitment services;
  • Information such as your status in Canada is required in order to ensure the Volunteer Bureau of Montreal’s compliance with Canadian laws;
  • Information such as your employment history and resume is required in order to ensure the delivery of the Skilled Volunteer Service;
  • Information such as your date of birth, street address and medical information is required for the Meals-on-Wheels Liaison Service. See section 3.4 for more information related to the collection of this personal information;
  • Information collected automatically when you use the website and our services, such as the time and date of your last login and the pages you visited;
  • Credit card or other payment method information, as well as other related information for any transactions that appear on our site is required for services such as membership registration and payment for training, conferences and events;
  • Personal information may be collected by our internet payment partner “Stripe”. To learn more about how they handle, retain and destroy your personal information, you can consult their privacy policies here.

By phone, email or in person:

  • Information such as your first and last name, your email address, your telephone number is required for the creation of a volunteer account;
  • Information such as your non-profit organization number is required for the creation of an organization member account;
  • Transaction and payment information, such as the payment method used, date and time, payment amount, billing postal code, your address and other related information;
  • Information you choose to provide or share with us, for example, when you fill out a form, respond to surveys, or contact a member of our team;
  • Professional or employment-related information, such as your resume and other information you provide when you apply for a job at VBM.

Please note that we only collect and process personal data and information that is strictly necessary for the purposes for which you provide it. 

 3.2 Use of Personal Information

The personal information we collect will be used for the legitimate purposes described below:

  • To provide services;
  • To allow you to subscribe to our newsletter;
  • To operate, maintain, supervise, develop and improve the full functionality of our website;
  • To develop new services;
  • To send you messages or updates regarding your account;
  • To conduct a contest or survey on our services or website;
  • To collect reviews and comments in relation with our services;
  • To detect and prevent fraud, errors, spam, abuse, security incidents, and other harmful activities;
  • To apply for a job at the Volunteer Bureau of Montreal;

3.3.1    Complying with Legislation, Responding to Legal Requests, Preventing Harm and Protecting Our Rights

We may disclose your Personal Information when we believe such disclosure is authorized, necessary or appropriate, including: 

  • To respond to requests from public and government authorities, including public and government authorities outside your country of residence;
  • To protect our business;
  • To comply with legal processes;
  • To protect our rights, privacy, safety, property, yours or those of others;
  • To allow us to pursue available remedies or limit the damages that we may sustain; and
  • In accordance with applicable laws that are applicable, including laws outside your country of residence.

3.3.2 Consent to Personal Information

When possible, the Volunteer Bureau of Montreal obtains consent directly from the individual concerned in order to collect, use and disclose his or her personal information. However, if you provide us with personal information about other individuals, you must ensure that you have given them due notice that you are providing us with their personal information and that you have obtained their consent to such disclosure.

We retain your personal information only for as long as necessary to fulfill the purposes for which it was collected, unless you consent to your personal information being used or processed for another purpose.
Please be aware that our retention periods for personal information may vary depending on the services offered by the Volunteer Bureau of Montreal. 3.3.3.1    Website provider and storage of personal information

The Volunteer Bureau of Montreal uses Viglob's services to manage and host our website. All personal information collected through the website is hosted on Viglob's servers, whose privacy policy can be found here.

3.4    Sensitive Personal Information

In order to provide the Meals-on-Wheels Liaison Service (also known as the Central Liaison Office), we need to collect personal information that is considered to be sensitive. Please be assured that before proceeding with the collection of this sensitive personal information, we will ensure that we have your explicit consent to do so, as required by law, and that we will inform you of the reasons for its collection. In addition, the Volunteer Bureau of Montreal will only collect sensitive personal information that is strictly necessary to benefit from the Meals-on-Wheels liaison service.
The following is the sensitive personal information that we may collect from you, with your consent, in order to provide you with the Meals-on-Wheels Liaison Service:

  • Street address;
  • Date of birth;
  • Information of a medical nature, such as a disability or a physical or cognitive health disorder;
  • Financial situation;

4. Your rights

  • You have the right to be informed of the personal information we hold about you and to request a copy of the documents containing your personal information, subject to exceptions provided by applicable law;

You hereby agree that the Volunteer Bureau of Montreal cannot be held responsible for any breach of confidentiality, viruses, loss, theft, misuse or alteration of personal information transmitted or hosted on its systems or those of a third party. You also declare that you waive any claim in this regard, except in cases of gross negligence or wilful misconduct on the part of the Volunteer Bureau of Montreal.
Accordingly, you agree to release the Volunteer Bureau of Montreal and its officers, directors, related persons and partners from any and all liability for any damages of any nature whatsoever, whether direct or indirect, incidental, special or consequential in connection with the use of your personal information.
In the event of a breach of the confidentiality or security of your personal information that poses a high risk to your rights and freedom, you will be notified of this breach as soon as possible and the Volunteer Bureau of Montreal will take the necessary measures to preserve the confidentiality and security of your personal information.

The content and information disseminated on our website, through volunteer offers, are chosen and written by the member organizations of the Volunteer Bureau of Montreal via their user accounts. Please note that, although the Volunteer Bureau of Montreal verifies the content produced by them, it cannot be held responsible for the content of its remarks, nor for the consequences that may result from them.
